This Privacy Policy describes how the Support AI Dashboard (“Service”) collects, uses, and protects information when businesses use our platform to manage customer conversations. By using the Service, you agree to the practices described in this policy.
2. Information We Collect
- Business account information: Name, email address, and password when you register for an account.
- WhatsApp Business data: Phone number ID, WhatsApp Business Account (WABA) ID, and access tokens provided through Meta's Embedded Signup flow.
- Customer conversation data: Messages sent to and from your WhatsApp number, including text, voice, and image messages processed on your behalf.
- Knowledge base content: PDF documents and Q&A pairs you upload to train the AI assistant.
- Usage data: Message counts and token usage for billing purposes.
3. How We Use Your Information
- To provide AI-powered automated responses to your customers via WhatsApp.
- To route and manage conversations between the AI and your support staff.
- To improve response quality by learning from staff-edited drafts.
- To calculate and bill for usage under your subscription plan.
- To send transactional emails such as staff invitations and billing notices.
4. Data Sharing
We do not sell your data. We share data only with the third-party services required to operate the platform:
- Meta (WhatsApp Cloud API): Messages are sent and received via Meta's WhatsApp Cloud API under Meta's own terms and privacy policy.
- Pinecone: Vectorised representations of your knowledge base are stored in Pinecone for semantic search.
- HuggingFace / SambaNova / Together AI: Message content is sent to these inference providers to generate AI responses.
- ElevenLabs: Voice messages are transcribed using ElevenLabs Scribe.
- Stripe: Payment and subscription data is handled by Stripe.
- Resend: Transactional emails are delivered via Resend.
5. Data Retention
Conversation messages are retained for as long as your account is active. You may request deletion of your account and associated data by contacting us. Usage logs are retained for 12 months for billing audit purposes.
6. Security
All data is transmitted over HTTPS. Passwords are hashed using bcrypt. WhatsApp access tokens are stored encrypted at rest. We apply the principle of least privilege across all internal services.
